Position Overview

As an Administrative Assistant, you will perform departmental project tracking activities. You will act as an interface between employees, other departments, and vendors. In this role, you will provide administrative support to the Department Manager as well as the entire compliance team on a daily basis. You will manage daily schedules and assist the department in preparation for scheduled meetings.

Responsibilities

  • Daily tracking of projects including developing and maintaining project plans, budgets, and staffing requirements. Tracks progress and identifies/resolves obstacles. Ensures that all team members involved are on target for successful completion of the project. Recommends adjustments to the project plan based on achievements to date.
  • Manage the department calendar
  • Ensure department is prepared for all scheduled meetings; prepare materials, including presentations; facilitate others' participation to ensure meeting efficiency, etc.
  • Compose letters, spreadsheets and PowerPoint presentations
  • Create and maintain filing system
  • Manage daily administrative tasks (filing, photocopying, mail, faxing, etc.)
  • Answer phones and take accurate messages
  • Coordinate meeting and travel arrangements for Department Manager
  • Plan and organize team meetings. Recommend locations and make final selection, determine room set-up and menus, and create and modify meeting agenda as requested
  • Execute minutes at all Team related meetings and ensure action items are followed through to completion
  • Track status of project tasks for updates and progress and reports gaps between target and actual status
  • Manage multiple calendars; assist in organization and preparedness
  • Prepare and distribute documents, reports, and presentations using Microsoft Word, Excel and PowerPoint
  • Track department invoices and expenses
  • Coordinate conference calls and appointments with multiple participants
  • Other duties as assigned

Qualifications

  • Associate's Degree or equivalent combination of education and experience
  • Three to five years' relevant experience; prior experience supporting senior level executives preferably someone with experience supporting multiple executives
  • Advanced understanding of Microsoft Outlook, Word, PowerPoint, Excel
  • Excellent written and overbal communication skills
  • Ability to manage multiple projects, perform job functions w/ minimal supervision
  • Strong organizational and time management skills
  • Strong ability to act as the department intranet site webmaster, ensuring appropriate development and management of the site
  • High level of professionalism 
  • Superior people skills
  • Sound judgment; high standard of integrity and reliability; ability to remain strictly confidential is a must
  • Ability to use an effective customer service approach
  • Compliance with all C&S policies and procedures

  • Authorization to work in the United States or the ability to obtain the same

  • Successful completion of pre-employment drug testing and background check
